Workshop Engagement Terms

Fees, inclusions, payment, and scheduling for executive AI workshops with Devon Coombs LLC.

The Workshop

Each session moves from fundamentals to hands-on building. I open with 10 to 30 minutes on what matters beyond prompting, up to an hour on request: how teams move from prompts to agentic tools such as Claude Code, and how AI layers onto process improvement, meaning what you are trying to accomplish and where the team is losing productivity. I am platform agnostic and run the session on whichever tools your company has adopted. I build a live demonstration for your team and show the approach inside your own workflows.

The core of the session is a team competition. Small groups each take one of the top bottlenecks your organization has identified, build an AI-assisted approach, and pitch it to the room, with a sponsored prize for the winning team and a facilitated debrief on what each group got right. I open by finding where each person sits with the tools, sometimes with a live line-up from beginner to power user, so beginners get set up without pressure and I know who the power users are. The team leaves leaning on each other rather than on outside consultants.

Fees

A customized half-day or shorter executive workshop is $15,000. A full-day session is $25,000. Travel and related expenses are separate. Multi-day programs, cohort series, and other custom formats are priced in the proposal.

I lead every session personally and have run groups from 6 to 300. If you extend the session on site, I bill $2,500 per additional hour.

Before the Session

  • Thirty minutes with your sponsoring leaders to pick the top use cases and tailor the content
  • Review of the event agenda, time slot, and room setup
  • A short pre-session guide for participants covering the competition, the format, and tool setup
  • For hackathon formats, recommendations on team assignments, competition mechanics, and prizes
  • For multi-day offsites, the option to join the group for dinner the evening before or breakfast that morning, to meet participants and see the space

During the Session

  • Hands-on instruction catered to the team’s range of AI experience, with participants working in the tools live
  • Customized demonstrations and use cases built around your workflows
  • Exercises or a hackathon format focused on the bottlenecks your organization has identified
  • Team presentations, facilitated debrief, and coaching

After the Session

  • A customized participant playbook covering everything we worked through
  • A one-hour virtual debrief within 45 days: what did you learn, and where did you get stuck
  • Follow-up training sessions, virtual or on site, and retainer support for workflow build-out, scoped separately

Booking

I hold dates on request for up to ten business days; a date is reserved on a signed agreement and deposit. I provide a one-page agreement and work through vendor onboarding or procurement review when your team requires it.

Payment

A deposit of 50% of the professional fee is due on signing and reserves the date. The balance is due on or before the session date. Engagements confirmed fewer than 21 days before the session date are payable in full on signing. A Form W-9 is available on request.

Travel and Expenses

The client covers pre-approved travel, lodging, meals, and event-related expenses, either booked directly or reimbursed at actual cost with receipts. No markup is applied. Air travel is booked in premium economy, or business class for flights over four hours, where available.

Rescheduling and Cancellation

A workshop may be rescheduled once at no charge with at least 21 days written notice, subject to availability within the following six months.

If the client cancels 45 or more days before the session, the deposit applies as a credit toward a future engagement, valid for twelve months. If the client cancels 21 to 44 days before, 50% of the professional fee is due. If the client cancels 20 or fewer days before, the full professional fee is due. Non-refundable expenses already incurred are reimbursed in each case, and a reschedule with no mutually workable date within six months is treated as a cancellation as of the original notice date. If Devon Coombs LLC cancels other than for an event outside its reasonable control, all amounts paid are refunded in full.

Client Setup

Any room works: boardrooms, classrooms, tables, or theater seating, identified ahead of time so the format matches the space. The client provides WiFi, a screen, participant laptops, and participant access to the AI tools licensed through the company. Sessions run on the tools the client’s team already uses: Claude, ChatGPT, Copilot, or Gemini.

Materials and Recording

Upon full payment, delivered materials (slides, playbook, exercises) are licensed for use by session participants and for the client’s internal reference. They may not be used to deliver training to others without written permission. Sessions may be recorded for internal use where agreed in writing in advance.

AI Tools and Client Data

Participants work in AI tools under the client’s own accounts and policies. The client decides what information may be entered into third-party AI tools, and no exercise requires confidential data.
